Manage Submissions

  • View Submissions
    • Precondition: A submission must be prepared and the assigned step completed.
    • Methods to View Submissions:
      1. Notification Center (In-app):
        • Click a notification (e.g., “All Completed”).
        • Navigate to the submission view.
      2. Notification Center (Mobile Push):
        • Click the push notification (e.g., “All Completed”).
        • Navigate to the submission view.
      3. To-Do Section:
        • Go to Ongoing or Done tab.
        • Click a submission to open it.
      4. Project > Form:
        • Select a form template to open the data table.
        • Each row represents a submission and displays its reference number and answers.
        • Click a row to open a side menu preview.
          • Side Menu:
            • Navigate submissions using arrows.
            • Change version with the dropdown button.
            • Click Download to save as a PDF.
            • Click More for actions: Edit submission, Download, Move to trash.
            • Click Open In New to view submission in a larger window.
      5. Hover Submission Row:
        • Hover a submission row in the data table to reveal the Open In New icon.
        • Click to open the submission in a larger view.
          • Larger View:
            • Navigate submissions with arrows.
            • Change version via dropdown.
            • Download, edit, or move to trash using the More menu.
            • View progress, details, and history in the left-hand side menu.
            • Check Submission Progress
              1. Open the Progress tab in the side menu.–Confirm the progress is synced with the expected workflow.
  • Edit Submissions
    • Precondition: Account must have permission to edit submissions.
    1. Click a submission.
    2. Open the More menu and select Edit Submission.
    3. Navigate to the edit view:
      • Click a field to update its value.
      • Save changes by clicking Save Changes.
      • Changes are applied to the submission.
  • Download Submissions
    1. Open a submission.
    2. Access the More menu and click Download.
    3. The system processes and downloads the submission.
  • Delete Submissions
    1. Open a submission.
    2. Access the More menu and select Move to Trash.
    3. Confirm deletion in the Move to Trash dialog.
      • Displays the correct reference number.
      • Click Move to Trash.
      • Snackbar displays: [Submission moved to trash.]
    4. Multiple Deletions:
      1. Select multiple submissions using checkboxes.
      2. Header displays {amount} selected with options:
        • Clear Selection: Unselect all items.
        • Move to Trash:
        • Opens a dialog confirming the action.
        • Click Move to Trash. Snackbar displays: [{amount} items moved to trash.]
  • Manage Trashed Items
    • Access Trashed Submissions:
      1. In the template header, click the More button next to the star icon.
      2. Select View Trashed Submissions.
      3. Opens a data table of trashed submissions.
      4. A banner appears at the top with trash rules and the Empty Trash button.
    • Trash Actions:
      1. Empty Trash:
        • Click Empty Trash.
        • Confirm deletion in the dialog: “All items will be deleted and won’t be able to restore.”
        • Click Delete Forever. Snackbar displays: [All items deleted forever.]
      2. Select and Manage Items:
        • Use checkboxes to select items. A banner displays {amount} selected with options:
        • Clear Selection: Unselect all items.
        • Delete Forever:
          • Opens a confirmation dialog showing the total number of selected items.
          • Click Delete Forever. Snackbar displays: [{amount} items deleted forever.]
        • Restore:
          • Click Restore. Snackbar displays: [Name or {amount} items restored!]
      3. Double Click to Manage:
        • Double-click a trashed submission to open it in the side menu.
        • A banner displays: [Deleted item. 30 days remaining to restore.]
        • Available options:
        • Download the submission.
        • Switch versions.
        • Click More for actions: Restore or Delete Forever.
  • Permissions and Platform Limitations
    1. Manager Role Only:
      • By default, only users with the Manager role can access trashed items.
    2. Web App Exclusive:
      • Trash management is only available in the web application.
