Fill Submission

  1. Access the Submission
    1. Notifications for submissions that require action appear in the Notification Center and To-Do List.
    2. Click the notification or To-Do item to navigate to the Fill Submission page.
  2. Check Turn-Based Access
    1. Submissions can only be filled out during the assigned turn (step) as per the workflow settings.
    2. If it is not the assigned turn:
        • The submission is view-only, and fields cannot be edited.
  3. Fill Out the Submission
    1. Fields to be completed are highlighted with a yellow border.
    2. To identify missing fields:
        • Click the “Eye” icon button.
        • The page scrolls to the first incomplete field automatically.
  4. Use the Side Menu
    1. The side menu on the left provides tabs:
        • Progress: Displays the current state of the workflow, submitter, and timestamps.
        • Details: Shows project information, reference number, expiration date (if applicable), validity info (if applicable), and last updated details.
        • History: Logs all actions, including field edits and workflow changes.
    2. Click the close icon in the header to minimize the side menu. The menu becomes an icon button and can be reopened by clicking the icon.
  5. Submit the Submission
    1. Click the Submit button (or custom action button).
    2. System checks:
        • All required fields are filled correctly.
        • Location restrictions are met if geofencing is enabled.
  6. Conflict Check:
        • If another member has already submitted the form, a dialog appears:
        • Options: Close or View Submission.
      • Handle Offline Submission
        • If offline:
          • A banner appears at the top of the submission page.
          • Clicking Submit opens a dialog to choose:
          • Auto-submit: Automatically submit when back online.
          • Manual submit: Submit later manually.
  7. Manage Geofence Restrictions
        • If the submitter attempts to submit outside the designated geofence:
          • A dialog prevents submission and provides an alert.
  8. Copy a Past Submission
    1. Click the Copy button in the top banner.
    2. A dialog opens to select a previous submission to copy from.
    3. Choose a submission and confirm.
  9. Validate Submission Functionality
    1. Verify Field Functionality
        1. Numeric Field:
          • Check that the numeric input allows numbers only.
          • Ensure the number keyboard appears on mobile devices.
          • Enter invalid input to confirm an error message appears.
        2. Upload Field:
          • Click the upload field to ensure the local file manager opens.
        3. Signature Field:
          • Click the signature field to verify the dialog opens with options:
          • Select from Colle
          • Upload
          • Sign Now
        4. Subform Field:
            • Click the subform field to confirm the subform selection dialog opens.
            • Verify the maximum choice limit works correctly, showing options with limits at the top.
    2. Validate Error Messages
        1. Email Field:
          • Enter an incorrectly formatted email to confirm an error message appears.
    3. Save Draft
        1. Click Save Draft to ensure the current record is saved without submission.
    4. Share Submission Link
        1. Generate a Link:
          • Click the share icon button to create a link for no-account assignees.
          • Select multiple steps to include in the shared link.
        2. Copy and Share:
          • Copy the link and paste it elsewhere.
          • Open the link to ensure the submission is accessible.
        3. Step links can only be created for steps the user is assigned to. All generated links are recorded, and only the creator can view their own links.
        4. Expiration/Invalidity:
          1. If the submission is expired or invalid, confirm that notifications are sent at 12:00 AM UTC+0 the next day.
        5. Manage Share Links
          1. Generate Share Link
            • Click Generate Link.
            • Once the link is generated, the button changes to Copy Link.
            • Click Copy Link to copy the link to your clipboard. A feedback message “Copied!” will appear.
          2. Delete Share Link
            • After generating a link, click the More icon button and select Delete Link.
            • A confirmation dialog will appear; confirm to proceed with deletion.
            • Once the link is deleted, the button will revert to Generate Link.


            • Managing Multi-Step Links
              1. Create Multi-Step Link
                • Select multiple steps.
                • Click Create Multi-Step Link.
                • Once the link is generated:
                • The button label changes, a More icon button appears, and a Multi-Step Link Info Card is added to the last selected step.
              2. Copy Multi-Step Link
                • Click Copy Multi-Step Link.
                • The button label updates to Copied to confirm the action.
              3. Revisiting the Same Steps
                • When selecting the same steps again, the header will display the previously generated link at the top, along with the Copy Multi-Step Link button.
              4. Managing the Multi-Step Link
                • Users can also copy or delete the Multi-Step Link directly from the Step Info Card.
