2. Create and manage Budget Codes

Budget Codes help your team track material usage on a project. Each Budget Code represents a material with a total quantity and unit, so approved Budget Requests can be monitored against the available budget.

You can manage Budget Codes from Projects > a project > Budget.

What a Budget Code includes

A Budget Code includes the information needed to track material usage:

  • Name: the material name, such as Concrete
  • Category: the default material category
  • Total Qty: the total quantity available for this Budget Code
  • Unit: the measurement unit, such as t, ft, m, cm, mm, m2, ft2, m3, or ft3
  • Photo: an optional image for easier identification

Budget Codes track quantity, not dollar amount.

Create a Budget Code

  1. Open Projects.
  2. Select a project.
  3. Open the Budget tab.
  4. Select Add Budget Code.
  5. Enter the Budget Code name.
  6. Choose a category.
  7. Enter the total quantity.
  8. Choose a unit.
  9. Upload a photo if needed.
  10. Select Create.

All required fields must be completed before the Budget Code can be created.

Edit a Budget Code

Open the Budget Code from the Budget tab to view its details. Users with permission can edit the Budget Code information from the detail panel.

Editing a Budget Code may update how future requests and reports appear. Review the name, category, total quantity, and unit before saving changes.

Archive or delete a Budget Code

Managers can archive or delete Budget Codes.

Use archive when the Budget Code should no longer be used but the project should keep its history. Use delete only when the Budget Code was created by mistake and should be removed.

Manage units

Units are shared company-wide and can be managed from both Web App and Mobile App.

Categories currently use GoBuid's default category list. Users cannot create custom Budget Code categories for now.
