What you can track in Budget
Budget helps teams monitor project usage before it becomes hard to control.
You can use Budget to track:
- Manpower working hours
- Equipment usage time
- Material usage by Budget Code
- Pending and completed Budget Requests
- Budget status through overview charts and usage indicators
Manpower and equipment budgets are tracked by working hours or usage time. Material budgets are tracked through Budget Codes and Budget Requests.
How Budget Codes work
A Budget Code represents a material item or material category that needs to be tracked on the project. Each Budget Code has a total quantity and unit, so the team can compare approved usage against the available quantity.
Budget Codes include:
- Name
- Category
- Total Qty
- Unit
- Photo
Categories use GoBuid's default category list. Units can be managed company-wide from both Web App and Mobile App.
How Budget Requests work
Budget Requests are used when project members need to request material usage under a Budget Code.
A Budget Request can include:
- Budget Code
- Qty
- Use of item
- Receipt Date
- Approver and Notify users
- Optional attachments
Assigned approvers can approve or decline the request. A request is complete only after every assigned approver approves it.
Who can access Budget
Budget access depends on the user's project role and Budget permissions.
- Managers can view Budget, set and edit manpower/equipment budgets, create and edit Budget Codes, archive or delete Budget Codes, submit Budget Requests, and approve Budget Requests.
- Internal users can view Budget, set and edit manpower/equipment budgets, create and edit Budget Codes, and submit Budget Requests.
- External users cannot access the Budget tab.
Only assigned approvers see the Approve and Decline buttons on a Budget Request.
Budget status colors
Budget uses colors to help teams quickly understand usage status:
- Green: 0-80%
- Yellow: 81-100%
- Red: over 100%
When a Budget Code reaches Yellow or Red status, GoBuid sends a notification to the Manager.
